Quality Management System (QMS)
If you wish to view any of our QMS policy documents when considering to enrol on a programme, please email or phone the office. The enrolment brochure will outline a few policies, including your withdraw policy, in case you decide to change your mind. That is ok. We refund fees no problem, but if the money has already gone into Public Trust, there will be administration fees.
Aromaflex Academy have procedures and policies around the running of our organisation, which include but not limited to:
Governance and Management - Goals and Objectives policy, Management Structure and Governance policy etc..
Staff - Staff Professional Policy etc..
Students - Student Fee Protection, Withdrawal policy, Student Pastoral Care etc..
Operations and Delivery - Programme Development policy, Moderation policy, programme review and evaluation policy etc..
About The Code
The Education (Pastoral Care of Tertiary and International Learners) Code of Practice 2021 makes sure that tertiary and international learners enrolled with New Zealand education providers are safe and supported.
The Code sets out what Aromaflex Academy must do to ensure the wellbeing and safety of their learners.

In general,students can expect that
- The quality of teaching and learning you receive will meet high educational standards;
- The marketing and promotion information you receive before you enrol is clear, complete and accurate so you can make a well-informed decision about whether an education provider is the right choice for you;
- You will receive enough information and support to help you with your enrolment, including understanding the legal obligations you have.
- You are welcomed and have enough information, guidance and support to help you settle into your course.
- Your learning environment is safe, and your wellbeing needs are supported.
Withdrawing From Your Programme
You have the right to withdraw from a programme at any time. Aromaflex Academy’s withdrawal and refund process is explained in the Fee Protection, Withdrawals and Refunds policy, which aligns with NZQA’s requirements.
You will need to notify the Administration in writing or complete the Withdrawal and Refund form upon request.
Concerns and Complaints
If you have any concerns about your course or learning experience at Aromaflex Academy, please tell us. We are interested in what you have to say and we welcome all feedback. If there is something bothering you or hindering your progress, let’s work together to put it right. We can’t help you if we don’t know.
If you have raised your concerns with us yet you feel we haven’t responded to your concerns satisfactorily, you have the right to raise your concerns with the following agencies: New Zealand Qualifications Authority (NZQA).
